Mentoring is often seen as an informal, “nice-to-have” initiative when in reality, it can be an important part of your growth strategy.

We’ve learned that when mentoring is structured, intentional, and supported, it can become an extremely effective tool that strengthens people’s skills, builds trust, accelerates development, and prepares people for bigger roles.

Even our CEO mentors.

When leadership models learning and teaching, it motivates people to grow.

A well-structured mentoring program can help you:

Grow internal talent faster

Strengthen cross-functional collaboration

Transfer knowledge across different teams of divisions

Prepare high-potential hires for roles with more responsibility

How Mentorship Helps Fast-Growing Teams

We didn’t build this program just to support the development of our people, but also because it has a positive impact on the business.

When a company grows, work becomes interconnected, dynamic, and structured. You need a system that helps people:

Improve technical and commercial skills

Gain confidence and independence

Solve problems with better context

Collaborate across teams and departments

Navigate complex workflows and decisions

Prepare for responsibilities that naturally evolve as we scale

Mentoring is a great structure that can tie all of this together.

What Mentoring Looks Like at Databox

Our program runs for six months and focuses on real, practical growth, whether that’s building new skills, preparing for a new role, onboarding faster, or sharing knowledge across teams.

Each mentoring relationship is structured around clear goals, regular sessions, and measurable progress. But at the same time, it leaves enough room for flexibility so each pair can adapt the experience to what’s most useful.

This isn’t theoretical learning. It’s tied directly to the work people are already doing.

To keep the program consistent and transparent, the entire mentoring process—including roles, expectations, and templates—is documented and easily accessible to everyone involved.

Progress is tracked through a structured template aligned with individual goals, giving both mentees and their managers clear visibility into development over time. This allows managers to stay closely connected to the process and use regular 1:1s for meaningful check-ins.

At the same time, the People & Culture team monitors progress to ensure consistency, accountability, and that each mentoring relationship stays on track.

How the Program Works

Before introducing our Databox Mentoring Program, we noticed we needed an initiative that is structured and will support people to be better in their roles.

We decided to create our own mentoring program to close that gap.

Here’s how we structured it.

1. Picking the right people

Twice per year, leadership identifies high-potential individual contributors who show readiness (or near readiness) for bigger responsibilities.

Only up to 10% of team members can join each cycle, which keeps it focused and impactful.

2. Matching mentors and mentees thoughtfully

The pairings should never be random. They should be intentional and consider:

Skill gaps

Future role trajectories

Personality and working style

Areas of technical or commercial expertise

3. Meeting over a longer period

In order for the program to have an impact, it should be something that lasts more than a few weeks. At Databox, mentoring pairs meet biweekly for 6 months, and the topics they discuss are guided by:

Defined development goals

A shared mentoring plan

Regular feedback loops

Support from managers and the People and Culture team

4. Orienting everything around goals

Mentoring works best when there’s a clear direction. Each mentee defines specific goals upfront—aligned with their manager, career path and the needs of the business.

This keeps sessions focused and ensures that mentoring isn’t just a chat but is intended to accelerate learning and prepare people for the next phase of our growth or the next step in their career.

5. Tracking progress along the way

Progress isn’t left to chance. Throughout the program, mentors and mentees review and document what’s working, what’s improving, and where adjustments are needed once per month.

This creates accountability, keeps momentum high, and makes sure the mentoring relationship delivers real, measurable outcomes—not just good intentions.

Why Mentoring Prepares People for Bigger Roles

In a company that grows, talent gaps don’t show up as empty desks. They are visible when people take on bigger responsibilities and lack the support they need to be successful.

When people move into bigger roles, they typically need three things:

Clarity
What’s expected? What does success look like?

Confidence and knowledge
Am I ready to make decisions, lead initiatives, or support customers independently?

Context
Why does this work matter, and how does it connect across teams?

Mentorship accelerates all three.

Many mentees are picked because there is an expectation that they will transition into a bigger role, either into product, leadership, sales, senior IC roles, or cross-functional work.

Importantly, managers of mentees are also involved in this process and track their progress closely. They are able to quickly see the progress their team members are making.

Structured guidance has the power to create a safe, focused space for development. It basically means someone experienced is helping you see what you can’t see yet.

How Mentoring Benefits the Entire Company

How will you know it’s working?

People will ask to be mentored.

At Databox, people have proactively reached out wanting to join the next cycle, which means our program is not only needed but valued.

However, having a mentoring program does not just help the mentees, but has company-wide benefits you will start seeing soon after implementing it.

For mentees

Mentees are obviously the ones who see the most direct impact of this initiative. They experience faster growth, they gain clarity in their career path, perform better in their role and are generally more confident at work.

This gives them a sense of ownership over their tasks and empowers them to feel ready to handle what’s coming their way in the future.

For mentors

While mentors are focused on growing their mentees, they are also the ones who benefit during this period. Being a mentor taught them how to coach others and allowed them to reflect on their own habits and thought processes. They gain visibility into other teams and are forced to articulate knowledge they’ve never had to verbalize before.

There are people on our team who initially felt like they didn’t have anything to mentor about, but quickly learned that they did, which is amazing to see and makes this process just as valuable for mentors.

Leadership sets the tone

One thing we’re especially proud of: mentoring isn’t limited to a specific level.

Our CEO has also taken on the role of a mentor.

That matters.

It shows that learning and development aren’t something we delegate. They’re part of how we operate as a company.

When leadership is involved, it reinforces a simple idea: everyone has something to teach, and everyone has something to learn.

Why mentoring is worth considering (for any company)

Most companies run into the same challenges as they grow:

Knowledge gets siloed

Onboarding takes too long

Career paths feel unclear

Teams become disconnected

Mentoring is one of the simplest ways to address all of these.

It creates a structured way to share knowledge, develop people, and build stronger connections across the company.

And in remote or hybrid environments, it becomes even more valuable.

You don’t need a complex system to start. But you do need intention.

How to Structure the Program for Maximum Efficiency and Transparency

A mentoring program only works if it’s structured enough to create progress, but flexible enough to allow real conversations, problem-solving, and connection.

If you are thinking of implementing it, consider creating a framework that keeps mentors, mentees, and managers aligned from day one.

Here’s how we built it.

1. Clear focus areas to guide the relationship

Every mentee enters the program with a defined purpose. There is no “general growth” approach. Each mentee has a primary focus area. In our case, those are:

Professional Development: building or strengthening specific skills

Career Advancement: preparing for expanded responsibilities

Onboarding & Integration: building role-specific knowledge quickly

Knowledge Transfer: sharing domain expertise or institutional knowledge

This focus area shapes everything that happens during the six-month cycle.

2. Kick-off call

Before the mentoring cycle begins, mentors, mentees, and mentee managers join a kickoff session with the People & Culture team.

During this session, P&C walks everyone through the program structure, clarifies roles and responsibilities, and sets clear expectations to ensure everyone starts aligned and ready to get the most out of the experience.

3. Defined goals, set together with the mentee’s manager

Before the first mentoring session, mentors receive clarity around:

The mentee’s long-term goals

The skills they’re developing

The competencies they need to operate more confidently

What “progress” should actually look like

This ensures mentoring supports both the individual and the team and is aligned with what our business needs are at the moment.

3. A planned schedule that keeps momentum high

When we start a new mentoring cycle, we host a kick-off meeting to build rapport, set expectations, and outline the plan. Then, mentors and mentees meet at least bi-weekly for six months, with mentees taking full ownership of:

Scheduling sessions

Preparing topics

Bringing challenges

Following up on the agreed next steps

Intentionally putting mentees in the driver’s seat motivates them to grow and reinforces the ownership they need to step up in their roles.

4. Meaningful activities that support growth

Depending on their goals, mentees work through a mix of:

Shadow sessions

Practice conversations

Project work

Reading assignments

Tools or frameworks

Internal knowledge-sharing

Applied exercises directly tied to their role

5. Monthly progress reviews to track development

One of the most important parts of the program is how we track progress. Every month, mentees reflect on:

Key achievements

Challenges faced

Skills strengthened

Areas still unclear

Confidence changes

What they want to focus on next

Mentors add their perspective, helping mentees see blind spots and recognize growth they may overlook. After 3 months, pairs have a structured review conversation that resets goals if needed and ensures both sides stay aligned.

6. A final evaluation that captures impact

At the end of the six-month cycle, every mentee completes a reflection that covers:

Skills they improved

Goals they achieved

Confidence gained

Knowledge applied

Impact on their day-to-day work

Career development progress (if applicable)

Mentors also share feedback on areas of growth, opportunities for the future, and next steps for development. The final step is essential and turns this process into something meaningful and tangible.

7. Recognition and celebration

It is important to show recognition and celebrate both mentees and mentors for their efforts. This can be done using certificates, company-wide shoutouts during meetings, or with more opportunities to contribute or expand their influence.

Mentoring in a Nutshell

If you are thinking about implementing this in your team, here are the takeaways:

1. Make it a system
Structure, consistency, and accountability are what make mentoring impactful.

2. Pair people intentionally
Skill gaps, future roles, and personality fit matter.

3. Support mentors just as much as mentees
Training, guidance, and reflection sessions make a big difference.

4. Create a triangle of support
Mentor + Manager + P&C = shared accountability.

5. Measure the program’s impact
Track progress, collect feedback, and adapt every cycle.

When you invest in people intentionally, you build an organization that can grow intentionally, too.

Culture is never something you fully design upfront.

You can define values, write principles, and document behaviors, but real culture is shaped over time by people, decisions, and moments when things are not easy.

At Databox, one word has followed us for years and somehow captured all of that better than anything else: playmakers.

A playmaker is not just someone who performs well. A playmaker creates opportunities for others to succeed as well.

In our early days, one of our marketing leaders, John Bonini, used this phrase to describe who we are. At the time, we did not fully realize how accurate it was. Over the years, as we shape our core values, our ways of working, and our expectations of one another, “Playmakers” slowly became shorthand for everything we stood for.

Last quarter, we revisited and redefined our values once again. Aljaž Godec, our Head of People and Culture, helped shape them to better reflect who we are today and aligned with where we are heading next.

I want to share why this idea of playmakers resonates with me and why it matters so much for how we will maintain and shape our culture going forward.

Before launching Databox, I spent more than a decade as a professional athlete. After that, I became a coach, responsible not just for my own performance but primarily for helping others grow, improve, and win.

When I think about Databox Playmakers, I can draw several similarities to sports. My 15+ years of professional sports experience, combined with 20+ years of entrepreneurial experience, have shaped how I view leadership and culture at Databox today. The parallels between sports and business are constant, and they explain well what we mean when we say we are Databox Playmakers.

At the core, being a Databox Playmaker means four things: reading the game early, connecting people and actions, initiating momentum, and elevating others.

Reading the game early

In sports, a playmaker sees patterns, timing, and momentum before others do. They anticipate what will happen next and position themselves, or others, accordingly.

In business, playmakers bring the same awareness. They understand the broader context beyond their own role, see connections across teams and functions, and recognize risks or opportunities early—helping the organization move with intent instead of reacting late.

At Databox, this resonates with our value ‘Drive customer success‘

In sports, every move is made with the goal of winning the game. In our world, winning means helping customers succeed.

Playmakers build with customers in mind, listen deeply, and make decisions that help them move faster and further. If something does not help a customer win, we rethink it.

Connecting people and actions

In sports, a well-timed pass turns individual effort into a scoring opportunity. It is not about holding the ball, but about moving it at the right moment.

In business, playmakers create flow across teams. They connect ideas, decisions, and execution, reduce friction, clarify priorities, and help others understand how their work fits into the bigger picture.

At Databox, this resonates with our value ‘Win as a team‘

In sports, a playmaker elevates everyone around them. They listen, trust expertise, challenge when needed, and support when it matters most. Wins are shared. Losses are learned from.

We focus on solutions, not blame. When one of us gets better, we all do.

Initiating momentum

In sports, playmakers sense when the team needs energy and step up without waiting for instructions. They take responsibility for changing the game’s rhythm.

In business, playmakers do not wait for perfect plans or ideal conditions. They take initiative, address problems proactively, and move things forward, knowing that progress often creates clarity.

At Databox, this resonates with the value ‘Own it. Ship it.‘

On the field, you are not a spectator. You own your role and your impact.

Playmakers take full ownership, experiment, take creative risks, and commit to delivering real value. Progress is built one release, one customer, one insight at a time.

It is also connected to the value ‘Driven by progress.’

In sports, momentum matters. Hesitation costs you.

We act with focus and high standards, take initiative, iterate quickly, and learn by doing. The market will not slow down for us, and that is our advantage.

Elevating others

In sports, the best playmakers measure success by team outcomes, not individual statistics. Their impact may not always be visible, but the results are.

In business, playmakers elevate others in the same way. They coach, support, and create space for people to do their best work. Their success is reflected in the strength of the team and what is achieved together.

At Databox, this resonates with our value We stay sharp and stay human
Great playmakers know how to last. A long season requires balance, energy, and perspective.

We protect time for deep work, rest, and life outside of work, knowing that sustainable performance depends on it.

Of course, no team is made only of playmakers.

Every sport and every organization needs different roles, strengths, and personalities. But what matters is the mindset.

Playing as a team.

Being proactive.

Taking ownership.

Making things happen instead of waiting for them to happen.

As we evolve into an AI-native company and rethink how we build and operate, this mindset matters more than ever.

Technology will change. Tools will, too.

What will not change is the need for people who think like playmakers and care deeply about collective success.

I am proud to be part of this team.

I am grateful for the people who show up every day with this mindset, often without realizing it. I am excited to see how we will continue to evolve and transform Databox, and I’m proud to be one of the Databox Playmakers.

Being effective is not just about output. It describes how a team works together to deliver results that actually matter.

At Databox, we define effective teams as ones that are clear on expectations, aligned on goals, and confident in how their work connects to the bigger picture.

Sounds good in theory, right?

But how do we actually achieve it?

What Makes a Team Effective at Databox?

For us, being effective comes down to a set of recurring rituals and practices that build trust, clarity, and alignment. Here are a few of the ways we do it:

eNPS discussions to hear directly from our people

Twice a year, after our employee satisfaction survey, each team holds an open conversation about the results. These aren’t just “feedback sessions”, but opportunities to talk honestly about what’s working (and what’s not), and to commit to changes together. Teams own these commitments and are responsible for tracking them. For example, our last round of discussions resulted in 62 commitments that teams will complete by the end of 2025. Afterwards, we always host a session to share best practices across the company, hopefully inspiring other teams to adopt them too..

Slack knowledge sharing to ensure transparency across teams

Slack is more than just our chat tool. We use channels to swap insights, share data, celebrate wins, and keep everyone aligned. Sure, there are birthday wishes and deadline reminders, but it’s also where cross-team collaboration happens and where ideas spread fast. Some of our favorite channels include #ideas-and-inspiration, #product-ideas, #engineering-knowledge, etc.

Daily check-ins that drive accountability without micromanagement

We like to keep momentum going with regular check-ins: sometimes via our Slack bot named Lucy, sometimes with quick stand-ups a few times a week. They’re short, focused, and help us avoid bottlenecks by surfacing blockers early.

High-Performance Culture (HPC) framework to keep standards high

Our HPC framework is how we make sure performance doesn’t just come from the top down, but from everyone taking ownership. It’s about creating an environment where teams and individuals can thrive by pushing ourselves, supporting each other, and constantly getting better.

Way Forward (WF) sessions to align on expectations and strengthen trust.

Once a year, teams hit pause on the day-to-day to reset. WF sessions are leader-led workshops where we get clear on expectations, align on goals, and build trust. They give every individual a direct line of sight into how their work connects to team and company success.

As our company grew, our strategies and cross-team collaboration became more complex, and the practices listed above became essential. Without clear expectations and shared context, even smart teams can struggle to execute well.

A practice we have found especially effective is Way Forward Sessions, annual team workshops in which each team shapes and aligns on its own strategy and mission. This gives each team the clarity and context they need to move our shared company mission and vision forward.

Inside a Way Forward Session

A Way Forward (WF) session is designed to align teams around what matters most. Once a year, each team steps out of day-to-day execution for a focused workshop. The goal is simple but powerful: strengthen trust, clarify roles and responsibilities, and identify key stakeholders, activities, and objectives for the year, all through the lens of our High-Performance Culture principles.

Length: At least half a day.

Focus: Align the team’s mission, vision, and strategy with company objectives.

Outcome: Each individual leaves with clarity on expectations, goals, and development priorities.

Here are the main areas that we address:

Team strategy alignment: ensuring everyone knows the “why” behind the work.

Role clarity: exercises like “What I expect from you” and “How I can help you” surface assumptions and build trust.

Defining success: openly sharing challenges and strengths helps the team become stronger and connected.

Due to our hybrid setup, some Way Forward sessions happen in person and others virtually. No matter the format, the impact is always strong. For remote teams, these sessions can carry even more weight. They create space to focus on topics that don’t usually fit into regular team meetings. Instead of diving into ongoing projects, teams step back to talk openly about how they operate, how they support one another, and what improvements they can make to work more efficiently in the future.

What Happens After the Session Ends

So, what’s the real impact of a Way Forward (WF) session? What changes once the sticky notes come off the wall and the whiteboard is wiped clean?

More Aligned Execution

Teams don’t just leave with ideas, but gain clarity and ownership. Everyone knows what’s expected of them, how their work connects to company priorities, and what success looks like in practice.

That kind of alignment shows up in the day-to-day. Decisions are made faster because the “why” is already clear. People feel confident taking action without waiting for extra approvals. And because ownership is distributed, execution feels lighter, not bottlenecked.

Deeper Trust and Team Cohesion

WF sessions also work at a human level. They’re designed to strip away assumptions and surface what could be otherwise left unspoken. By talking openly about expectations ( “What I expect from you” and “How can I help you”), people get a feeling they can rely on each other differently.

That transparency doesn’t just reduce tension; it creates real operational trust. You know who to ask for help, how to offer it, and where you stand with your teammates. Instead of second-guessing, you move forward together.

Clarity on What Matters

One of the most significant benefits is how WF sessions cut through the noise. Teams get clearer on what really matters and what they should stop wasting time on going forward.

That clarity doesn’t end when the session does. The outcomes of these sessions often become the foundation for other rituals the team might have: 1:1s, daily check-ins, and even eNPS team discussions.

Long-Term Benefits We’re Seeing

Teams that make WF sessions part of their rhythm aren’t just a ‘little more aligned’. They gain much more than that, including being:

Clearity on expectations and goals

Engaged discussions that actually matter

Collaboration across functions instead of siloed efforts

Honest and constructive feedback

Trust among team members

Outcome-focused, not just task-focused insights

Adaptability and readiness for change, instead of being paralyzed by it

The Principles Behind WF Sessions

We introduced Way Forward (WF) sessions gradually, first with our People & Culture team, who found them especially useful for defining their impact and building trust within the team. We later extended them to our entire leadership team, which helped clarify strategic planning and keep leaders aligned on company-wide objectives. Eventually, we rolled out WF sessions across all teams. This phased approach gave us the space to demonstrate their value and refine the format until it became a core part of how we work.

At their heart, WF sessions are built on a few simple but powerful principles:

Alignment with values: Way Forward sessions tie team strategy directly to our company values and vision.

Shared language and goals: Everyone leaves speaking the same language about priorities, commitments, and expectations.

Progress over perfection: The aim isn’t to solve everything in one go, but to keep moving forward faster and with more clarity.

For us, a strategy without alignment is just words. WF sessions make sure those words actually mean something.

They ensure every team is effective, trusted, and aligned, so that when we move, we move together. And that’s how we get closer, every day, to our mission of helping growing businesses use data to improve performance faster.

Besides taking this great opportunity to share their accomplishments with the world, we also hope to provide you with insider info about our team culture and what it’s like to work at Databox.

Not all tech journeys start with a computer science degree or years of startup experience.

For Promise Ewiwilem, our Principal Sales Development Representative, it started with a long commute and a dream to break into SaaS. Just three years later, he is now one of Databox’s top-performing Sales Development Representatives, who was named “champion of the quarter” three times.

Keep reading to learn how Promise developed his career by using self-belief, adaptability, and the power of great support.

From Banking to Sales Development

Before Databox, Promise worked in the banking sector, but has always been drawn to the fast pace of the tech world. A friend introduced him to Databox, and the idea of breaking into SaaS paired with remote work sealed the deal for him.

“Coming from banking, I had to learn everything from scratch. But that’s the beauty of SaaS, it rewards curiosity. Be open to learning, ask questions, and don’t be afraid of change.”

He first started on our Customer Support team, and after a few months, became one of the first members of the newly formed Business Development team that has since evolved into Sales Development. With that, his role has changed significantly. He went from answering support tickets to designing and executing sales development strategies that shape how Databox grows.

As a Sales Development Representative, his main responsibility is to identify and engage potential customers who could benefit from Databox. Promise does this by reaching out to prospects through various channels, learning about their challenges, and sparking interest in how our platform can help them make better, data-driven decisions. He is the bridge between marketing and sales, starting meaningful conversations that can lead to long-term partnerships.

When asked how he would explain his job to a 10-year-old, Promise answered,

“Imagine your friend bakes great cookies and wants to open a shop. I’m the one who finds cookie lovers and invites them in.”

Finding his Footing and Raising the Bar

In the short 3 years at Databox, Promise has been named Quarterly Champion three times—a recognition awarded to Playmakers who go above and beyond, deliver outstanding results, and raise the bar, all while exemplifying the values we strive to uphold at Databox.

“I’ve experienced rapid growth, and I’m truly proud of my accomplishments. However, none of it would have been possible without the incredible support of my team and the empowering work environment that Databox has fostered.”

It’s people like Promise who help us build high-performing teams, which is why it’s important to recognize potential early. With the right guidance from managers and a collaborative, supportive environment, that potential can truly thrive.

A factor in Promise’s growth has also been our mentoring program, where we pair Databox mentors with individual contributors to enhance skills, support career growth, and strengthen team collaboration.

“I was fortunate to be mentored by Nikos Ntirlis, an expert in Partnerships. He helped me see Sales not just as selling, but as problem-solving. That shift helped me build stronger connections with prospects and value my own time more.”

What Makes Databox Special?

For Promise, it’s not just the work or the KPIs, but the people.

“Everyone here is genuinely willing to help. The culture is collaborative and warm, and that makes the biggest difference. Even when it’s hard, it feels meaningful.”

When asked about his proudest accomplishments, Promise explained that adapting to change, co-developing processes that drive impact, and helping build the foundation of a now-thriving Sales Development team were things that he feels most proud of in his Databox journey.

“Being named the ‘champion of the quarter’ twice in one year felt incredible, but seeing how the processes we built helped the team scale is what I’m proudest of.”

His manager, Andrej Bačič, sees it too:

“Promise has consistently been a top performer. What makes him stand out is his communication—he adapts quickly, spots patterns, and stays focused on impact.”

Andrej Bačić, Senior Sales Development Manager

Final Takeaway

Promise’s story is proof that you don’t need a “traditional” SaaS background to succeed. All you need is the right mindset, the right support system, and a team that believes in your potential. At Databox, we’re building the kind of place where people like Promise thrive and where the next chapter is always full of possibilities.

At Databox, we talk a lot about accountability, team alignment, and empowerment. But one principle makes all of that possible: transparency.

And when we say transparency, we mean it.

Every team member has access to the same data as our executive team, from company-wide KPIs to our bank balance.

Why?

Because when people understand the big picture, they are more motivated to do their best work and contribute meaningfully.

Keep reading to learn about

how we practice transparency,

where it came from, and

the impact it’s had on our team and business.

What We Mean by Transparency

At Databox, transparency means sharing the right data with the right people, in real time, with the context needed to understand it.

That includes:

performance metrics,

strategic priorities,

quarterly team plans,

financial status,

progress toward company-wide goals,

… and more.

Transparency is not flooding people with dashboards or spreadsheets.

It means providing the context they need in order to make better decisions and ultimately be better in their roles.

And yes, it also means being open when results are not what we have hoped for. It has helped us build a culture of study and inclusivity instead of insecurity and fear.

Why It Matters So Much

We made a decision years ago to share information openly within our organization and never to silo it at the leadership level.

Our logic was simple: people can’t take ownership of their work if they don’t understand how it connects to the bigger picture. As our founder, Davorin Gabrovec, explains:

“Building a startup is hard. What matters is that your team is with you, not behind you.”

From the early days of Databox, Davorin believed that transparency is not just a leadership style, but something that is necessary in order to create a strong team that will have your back.

That mindset turned into a habit and, over time, became an integral part of our culture.

Transparency at Databox is not just for show. It serves us well. It builds trust, keeps us on the same page, and helps us move forward together.

And since we’re in the business of helping companies use data to improve performance, sharing our data internally is second nature.

Besides, it motivates people and shows them exactly how their efforts contribute to the bigger goals we are chasing as a company together.

How We Practice Transparency

By now, being transparent has become our second nature, so we practice it organically. Here are some of the everyday ways we keep it alive:

All-Hands Meetings

Each quarter, we hold a company-wide meeting to share progress toward goals, financial updates (yes, that includes our bank balance), lessons learned, and strategic priorities. It’s a chance to align across teams and give everyone deeper context on where we’re headed—and why.

Company Dashboards

What kind of business analytics company would we be if we wouldn’t use our own product?

So, normally, we use Databox to track everything from revenue and marketing performance to support response times. All dashboards are accessible through our shared company account, so anyone can log in and get a quick snapshot of how we’re doing, anytime.

Want to see how we structure team-wide transparency? Browse pre-made performance templates here

Automatic Slack Updates

We use bots and integrations to regularly share key updates via Slack — from revenue metrics to product adoption stats. This keeps our metrics visible without needing to hunt them down. Besides getting weekly automatic updates on our main KPIs, we also make sure to keep everyone in the loop by posting major changes, updates, wins and events on there and keep our team informed.

Quarterly Team Plans

Every quarter, each team prepares a short quarterly plan that is shared on our internal company blog and available for everyone to read to get a better understanding of what other teams have in store and how our product will change over time.

Because we are so transparent, and everyone in the company is so informed of our strategy, almost every person in every team is involved in setting these plans. Everyone in the management team also reviews every plan to make sure we’re all aligned. Therefore, when the plans are published on our internal blog, there are no surprises.

OGIs

Our Objectives, Goals and Initiatives (we call them OGIs) are open and tracked publicly in Asana. Each team shares updates, flags roadblocks, and highlights progress regularly. This transparency shows how individual projects ladder up to company goals and our annual target.

By having everyone on board with our company objectives, we allow people to see how they contribute to our objectives and how their projects feed into the bigger picture and help move our business forward.

Cash Flow Transparency

We also share our cash flow openly. Why? Because understanding the real-time health of the business helps our team make more informed decisions and understand the “why” behind big company moves.

These practices only work because we pair transparency with context. Without it, visibility becomes noise.

Context is what makes Transparency Work

Transparency sounds great, but it does require smart leadership. Sharing any numbers without context can create confusion, so when we share numbers, results and any information, we always make sure to share context as well, so people can cut through the noise and really understand what is happening.

That is why we encourage our leaders to:

Lead with clarity, not control

Provide ongoing context

Make education part of the process

Use transparency to build trust, not fear

The key is not just to show dashboards, but to teach people how to interpret them — and to empower them to act.

The Business Impact of Transparency

In a recent survey we completed of 70+ companies, 74% said transparency improves performance. But only 55% said the upside outweighs the risk. That gap? It comes down to leadership.

Source: Let’s talk transparency by Pete Caputa

Most leaders agree that transparency works, but many still hesitate. Most leaders know transparency works, yet are hesitant to embrace it fully. The reason is often the fear that their team won’t understand the numbers or that bad results might have a negative impact on morale.

But in our experience, the opposite is true.

So what has transparency actually done for us?

According to our internal surveys and what we hear in feedback sessions, here are some of the biggest benefits:

Better alignment across teams
By staying on top of team goals and plans, teams have a better understanding of other teams’ focus and a greater opportunity to connect and collaborate and create something awesome together.

Faster, more informed decision-making
We don’t like wasting time. By having information available to anyone not only helps us all make data-based decisions, but it speeds up the process significantly too.

Increased ownership and accountability
Teams are accountable for their results and we also make sure to show appreciation and recognition to publicly celebrate successes and champions, which boosts morale and has a positive impact on motivation.

Stronger engagement and morale
People are more motivated because they see how their contributions impact on our company goals, which keeps them engaged and involved.

Not sure if that’s true? Watch our DBUG Session: Does Data Transparency Drive Performance?

The Leadership Challenge (and Opportunity)

Transparency isn’t just a leadership philosophy — our team genuinely appreciates it. As Fedor, one of our Partnership Managers, shared:

“In my previous roles, I often felt in the dark. I never fully understood how my work contributed to the company’s goals… Then, I joined Databox, and I was in a meeting where we were sharing everything — KPIs, team performance, even our bank balance. I couldn’t believe it. Fast forward 3.5 years, and this hasn’t changed. If I were to start my own company, I’d do this from day 1.”

This kind of reaction is common, especially for team members coming from more traditional companies. When people see how their work impacts the bigger picture, they don’t just perform better — they feel more connected and motivated.

Final Thoughts

We’re not the only ones who’ve seen the power of transparency firsthand.

Our CEO spent 9 years at HubSpot, a company well known for its “Culture Code” that includes transparency as a core value. Like we do, they share strategy updates, financials, and goals across all levels. HubSpot’s founder, Dharmesh Shah, was inspired to bake transparency into HubSpot’s culture by many of the principles Netflix shared in their Culture deck and from what he learned directly from Patty McCord, Netflix’s Chief Talent Officer.

Buffer has been leading the way for years as well, openly sharing everything from salaries to company strategy, and their story is a great example of how openness can shape a stronger, more trusting culture.

By now, transparency is engraved into our culture because we believe it’s the best way to build trust, drive performance, and support our people. It helps us live our values, which include Be Accountable, Play as a Team, and Prioritize Customer Impact.

We are far from having everything figured out, but are staying committed to sharing, learning, and empowering our team. Curious about what it’s like to work at a place where nothing’s hidden behind closed doors? Check out our open roles here.

Innovation in the SaaS world is not just flashy features and big launches. It is also the reliability, scalability, and behind-the-scenes work that keeps everything running smoothly. At Databox, our DevOps team is the silent engine powering everything from our beautiful dashboards to real-time insights.

In this spotlight, we’re getting up close and personal with Peter Pogladič, Engineering Manager of our DevOps team. Keep reading to learn about his journey of discovery, challenge, and growth that perfectly encapsulates the spirit of DevOps at Databox.

From Curiosity to DevOps Leadership

Peter’s journey into DevOps started nearly 15 years ago when the need for specialized infrastructure management wasn’t as clear-cut. As products scaled, so did the challenges, and Peter’s natural curiosity about cloud infrastructure set him on a path that soon defined his career.

“It felt natural for me to take on the DevOps side, as my work was already more infrastructure-oriented. I was also genuinely curious about how to set up infrastructure in the cloud, which was still a new concept for me and the company at that time. That curiosity led me deeper into the DevOps world, and it’s been my focus ever since.”

After eight years of experience in DevOps and software development—mastering cloud platforms, container orchestration, and automation, including mastering Amazon EKS, Kubernetes, and leading technical teams—Peter joined Databox as a Senior DevOps Engineer and later took over leadership of the DevOps team. With Peter came a strong focus on scalability, automation, reliability and fostering collaboration with engineering and technical support teams.

Reflecting on his first day at Databox, the welcoming atmosphere, openness to growth, and genuine support from everyone come to mind—all things that made him feel like an integral part of the team from the very beginning.

“My first day at Databox still holds a special place in my heart. What stood out most was not only the warmth and friendliness of the team, but also their passion, skill, and willingness to support me from day one. This combination of welcoming energy and professional excellence continues to define our culture.”

A Day in DevOps

Usually, a team’s work is immediately visible. In the case of Development Operations (DevOps for short), the impact often happens quietly, but the results are both rapid and tangible.

For DevOps, a normal day means focusing on keeping our systems running smoothly. They manage automated CI/CD pipelines that continuously deliver new features without downtime. With this approach, they allow new features to reach the market rapidly and are accessible to our users immediately. Besides, they focus on optimizing our cloud costs, which ensures that our platform remains financially efficient while scaling to meet demand. Their work also revolves around security, observability, and high availability, which ultimately allow Databox to deliver a reliable experience for our customers 24/7.

“Our team makes sure feature launches are smooth and efficient. We automate deployments, optimize infrastructure costs, and maintain system reliability, which helps Databox grow without compromising stability.”

However, their work is much more than just maintaining systems—it involves continuous improvement. From optimizing database performance to fine-tuning Kubernetes clusters, the Databox DevOps team is constantly evolving. The best way to describe them is the glue between engineering teams, customers, and the company—a team that keeps everyone aligned, solves problems fast, and makes sure our infrastructure supports the bigger picture.

Through his leadership, Peter has made sure that DevOps isn’t just a team but a mindset that influences how all engineers at Databox work. Through knowledge-sharing sessions, close collaboration with developers, and integrating DevOps best practices into product development, his team ensures that operational efficiency, automation, and scalability are second nature to all engineers, not just the DevOps team.

Staying Ahead of the Curve

While the DevOps team operates largely behind the scenes, Peter stresses that Databox’s culture of innovation and adaptability is what makes his day-to-day work so rewarding.

“Databox has a unique approach to DevOps. We blend technical excellence with a mindset that embraces new ideas. Putting a strong emphasis on flexibility, especially with release schedules, which allows us to innovate while still keeping our standards high.”

Their long-term vision is something they lean on: build a scalable, efficient, and resilient platform that supports rapid product innovation without compromising stability.

To work towards that goal, the small but mighty DevOps team keeps refining its infrastructure and processes with the help of three guiding principles:

Scalability and Performance – Ensure Databox remains responsive and efficient as workloads grow.

Automation and Reliability – Reduce manual work and increase system resilience through smarter automation.

Collaboration and Developer Experience: Empower engineering teams with the right tools and processes to move quickly while maintaining quality.

With this focus, Peter and his team continuously embrace modern tools and methodologies, driving both engineering efficiency and a higher-quality product experience.

At Databox, AI is one of our top strategic priorities for 2025. As part of this focus, our DevOps team has been using AI tools to significantly improve the way they work. These tools help the team onboard new members faster, make their processes easier to follow, support smarter decision-making, automate repetitive tasks, and solve issues more quickly. The result is a more efficient and high-performing team.

Some of his team’s recent advancements include:

Implementing Citus for distributed PostgreSQL, allowing Databox to efficiently manage large datasets.

Adopting Karpenter for Kubernetes autoscaling, ensuring the right-sized infrastructure at all times. This has led to a 30% cost optimization while improving the efficiency of scaling operations, ensuring resources are always available when needed but never over-provisioned.

Migrating workloads to AWS Graviton instances, improving both performance and cost efficiency.

Introducing Preview environments to boost development velocity. Engineers can test, iterate, and deploy changes on production-like environments before releasing them to production. This means faster feedback for the engineers and faster delivery of new features, enabling product growth.

The innovations mentioned above are not just technical upgrades. They represent significant milestones on their path to future-proofing our platform and ensure Databox is always ready for the next challenge.

“The distinctive blend of technical prowess and a forward-thinking mindset is what makes our DevOps approach stand out and drive our success.”

Advice for DevOps Teams

Peter’s journey has given him insights that stretch beyond technical knowledge. When we asked him about advice to DevOps professionals, he shared the following:

Automate everything possible and don’t forget to leverage AI. Automation reduces human errors and improves efficiency, but the real power lies in combining it with AI—troubleshooting issues, optimizing pipelines, predicting scaling, and validating code.

Foster a culture of open communication. DevOps thrives on collaboration between development, operations, and security teams. Engineers are key collaborators, and sharing ideas openly is essential for improving processes and workflows.

Make smart trade-offs between cost and performance. Cost optimization isn’t about cutting expenses at all costs—it’s about making informed decisions that balance performance, reliability, and financial efficiency.

To make DevOps a strategic enabler of innovation, it’s important to go beyond technical improvements and make DevOps part of your company’s engineering DNA. At Databox, Peter has done that by continuously encouraging cross-team collaboration, championing infrastructure-as-code best practices, and advocating for automation. By doing so, he’s reinforced a culture where DevOps is about much more than just keeping systems running—it’s about driving progress and making things happen across the organization.

A Journey of Continuous Innovation

The role of DevOps at Databox is silent yet powerful and supported by continuous transformation and dedication. The team’s relentless pursuit of innovation and operational excellence ensures that every new feature reaches customers quickly and reliably.

Moral of the story? Behind every great product is a team committed to making the invisible indispensable. In our case, that’s DevOps.

AI isn’t just evolving; it’s transforming entire industries.

As data-driven decision-making becomes more complex, businesses need tools that don’t just analyze data but actively guide smarter, faster decisions.

At Databox, we are embracing the shift. In 2024, AI became one of our top strategic priorities. Now, we are taking an even more significant step: transitioning into an AI-first company.

This shift is more than just adopting new technology; it’s about fundamentally changing how we operate, build our products, and empower our customers in the AI era.

Here’s how we’re investing in this transformation:

AI-Native Product Development

Our transformation starts from within. Over the past few months, we’ve made AI-powered tools like Copilot and Cursor nearly mandatory for our product development teams. We’ve also introduced internal AI workshops and coding days to help everyone explore AI’s potential firsthand.

Our goals with AI-native development are to:

Improve Performance: Use AI-driven code generation, debugging, and optimization to boost productivity.

Speed Up Development: Automate repetitive tasks and streamline workflows to shorten delivery times.

Encourage Innovation: Foster a culture of experimentation with AI-driven features.

By embedding AI into our core processes, we’re not just making our team more efficient—we’re creating the foundation for continuous product innovation that benefits our customers.

Accelerating development is just the beginning. AI won’t just optimize our processes. It frees up our time to innovate more, letting us spend more time identifying customer needs and validating new product opportunities.

AI-Powered Enhancements in Our Platform

We’re not just using AI internally; we’re embedding it into our platform to help businesses analyze data more effectively. In the last year, we added Gen AI performance summaries, forecasts, data correlations, and anomaly detection to enhance our platform with data science-related work. Our vision is to go beyond traditional analytics and make data more actionable, predictive, and automated.

We are focusing on AI-driven improvements such as:

Optimized Product Onboarding: By analyzing how our most successful users interact with Databox, we’ll help new customers set up their accounts more efficiently.

Enhanced Data Analysis: Using machine learning to detect trends, anomalies, and patterns that might otherwise go unnoticed.

Intelligent Insights: Providing personalized recommendations and predictive analytics to support better business decisions.

These AI-powered enhancements will help our customers improve performance, uncover trends faster, identify new opportunities, and optimize their business strategies with minimal effort.

Investing in AI Agents and Agentic Systems

AI agents are poised to transform customer interactions, autonomously handling sales, support, and retention. This approach will be a key differentiator in the future of business intelligence.

For example, we’ve employed bots in our customer support processes to take over approximately half of our customers’ questions, which increased our response time and freed up our team to offer more personalized and proactive assistance. We look forward to bringing this type of impact to our customer’s performance management and reporting processes.

We recognize the significant role AI agents will play, so we’re investing heavily in AI Agentic systems and other AI projects to help our customers get the most out of our product.

Agentic AI presents a huge opportunity to rethink and redefine how software is adopted, used, and leveraged. AI agents are here to stay, and they will drastically change how we interact with software tools.

Building a Dedicated AI Team

To support our transition to an AI-first company, we are creating a dedicated AI team on the same level as our core Product and Engineering (P&E) functions—product, engineering, and DevOps. This team will drive AI research, development, and integration across our P&E teams and later build things that can assist our entire organization and reinforce our commitment to embedding AI into everything we do.

As AI reshapes our business, we will also invest in continuous learning and upskilling to equip our employees with the knowledge and tools they need to succeed in an AI-first world.

—-

The Future of AI in Business Intelligence

Software development will never be the same.

Transitioning to an AI-first company isn’t just a strategic move—it’s a necessity. The world is shifting toward AI-driven automation and AI Agents, where software doesn’t just provide insights but takes intelligent action on behalf of users.

Our commitment to AI will drive efficiency, unlock new opportunities, and prepare us for the next wave of technological evolution. By embracing this shift now, Databox is ensuring that we stay ahead of the curve, delivering cutting-edge solutions that help businesses navigate the complexities of a data-driven world.

We’re excited for what’s ahead. Let’s build the AI-powered future of business intelligence—together.

According to Slack, over 82% of people agree that feeling happy and engaged at work is the key driver of their productivity.

This proves that workplace satisfaction is about more than just keeping employees content. It’s a critical factor in driving organizational success. Companies with satisfied employees regularly outperform their competitors, which proves that a happy workplace is a strategic advantage.

However, getting people to be happy and thus productive cannot be imposed from the top down. It requires a collaborative approach that originates from the teams themselves. At Databox, we have addressed this by empowering our teams to actively shape their culture and performance through open team discussions where they identify areas of improvement and actively contribute to individual satisfaction and team success.

Fostering Team-Driven Conversation

The first step towards content employees is understanding their experience. To do that, we use Employee Net Promoter Score (eNPS) to gauge employee satisfaction and engagement twice per year. eNPS measures how likely employees are to recommend Databox as a workplace, providing both a numerical score and detailed, anonymous feedback.

After analyzing the responses, we hold team discussions to address pain points, identify opportunities, and implement actionable improvements. This collaborative approach drives meaningful change, enhances work practices, and fosters a more engaged and dynamic workplace.

The main goal of team discussions is to inspire reflection and explore ways individuals can contribute to team efficiency, satisfaction and engagement within their scope of work. This helps us create alignment inside teams and foster a culture of open communication at the same time.

Stop, Start, Continue

When discussing areas for improvement, teams are encouraged to use the Start, Stop, Continue template to reflect on their own contributions and ways of working. Each team member writes their suggestions on a post-it note and adds it to the board—physically or virtually on Zoom. This ensures every voice is heard and everyone has an equal opportunity to contribute.

The Start, Stop, Continue template is a powerful tool for retrospectives that fosters growth through open-ended questions and active listening. It helps teams reflect on successes, challenges, and areas for improvement, even when things don’t go as planned.

The method has three parts, each focusing on a specific aspect of team performance and growth opportunities:

Start: Encourages identifying new actions or resources that can improve processes. Results may include using new tools, introducing new habits, or improving ways of communication.

Stop: Pinpoints pinpoint unproductive practices, behaviors, or workflows that no longer serve the team. Members are encouraged to give constructive feedback to make room for clearer and more productive alternatives.

The People & Culture team facilitates team discussions, ensuring teams focus on meaningful challenges that have an immediate and direct impact on their satisfaction and effectiveness.

How We Structure Team Discussions

We focus on team discussions because the areas of improvement usually relate directly to specific team experiences. Without a tailored approach, it is challenging to pinpoint the root causes of areas needing improvement. General solutions cannot address the unique pain points of individual teams, which means that targeted discussions are the right way to foster deep understanding and drive team-specific improvements.

Reviewing Results

The conversation begins with an analysis of the team’s overall score, which provides a broad perspective on performance and engagement.

Identifying Strengths and Areas of Improvement

This is followed by identifying the team’s strengths to celebrate what is working well and then addressing areas that need improvement.

Fostering Open Dialogue

Using the Start, Stop, Continue template, the team collaboratively examines behaviors, practices, and processes to enhance their effectiveness.

Form Commitments

The desired outcome of each discussion is to commit to 2 actionable changes that directly address pain points. These commitments are documented in Asana, our project management tool, ensuring clear accountability and progress tracking. Teams are responsible for developing practical solutions and implementing them before the next discussion.

By taking ownership of the process and outcomes, team members are empowered to drive meaningful change, fostering a proactive growth and collaboration culture.

Sharing Commitments

The commitments are later shared with the entire team during a session called “Sharing Team Commitments.” This not only inspires other teams to explore similar changes but also fosters a culture of knowledge-sharing, giving this initiative added value.

Initiatives that Drive Team Effectiveness

Since each team deals with unique challenges, the commitments that they form during those discussions reflect those challenges and relate to their identified areas of improvement. Team members are encouraged to dive deep and identify ways to enhance their team dynamic, habits, and practices.

Benefits of Empowering Teams to Co-Create Culture

In Playmaker Spotlight, we get up close (and sometimes personal) with a valuable team member whose individual contributions shouldn’t be overlooked but instead used to highlight their unique experience. Besides taking this great opportunity to share their accomplishments with the world, we also hope to provide you with insider info about our team culture and what it’s like to work at Databox.

Today, data science represents the foundation of smart decision-making for many growing businesses.

A couple of years ago, we embraced its transformative power with Miha Pavlinek, our Director of Data Science and Engineering, leading the change. The main strategy of his team includes harnessing data to help businesses thrive using data science. In this blog, we’ll let Miha explain how data science fuels innovation at Databox.

A Journey towards Data

Before joining Databox, Miha spent nearly a decade as a teaching assistant, combining hands-on experience with research-driven projects. Since he has always been fascinated with large datasets and the hidden patterns within them, a journey towards data, algorithms, and machine learning seemed natural.

After completing his PhD, Miha decided to transition into the industry to gain experience as a data scientist across a variety of projects, including fraud detection, recommendations, time series analysis, forecasting, customer analysis, and more. His evolution into advanced analytics eventually led him to Databox, where he got the chance to combine his expertise with our vision of leveraging data science to empower businesses.

The Role of Data Science in Modern Business Intelligence

In recent years, data science has revolutionized business intelligence (BI) by elevating traditional BI tools with advanced features like predictive modeling and machine learning.

As Miha states, “modern BI tools are no longer limited to dashboards, visualizations, and reports, but instead deliver actionable insights, accurate predictions, and personalized recommendations. This enables businesses to make smarter, real-time decisions—an essential part of our mission at Databox.”

This shift has allowed small and medium-sized businesses to access data-science-driven tools and functionalities, allowing them to maintain a competitive advantage.

“At Databox, this evolution has not only reshaped our approach to product development but also redefined how we think about the future of BI.”

Building a Data Science Team that Drives Impact

In recent years, the Databox data science team has evolved from its roots in data engineering to become an integral part of the product team. This strategy ensures the team stays closely aligned with customer needs, creating features like forecasting, anomaly detection, and generative AI solutions that directly enhance user experience.

The team is primarily responsible for developing advanced data solutions within our products. These solutions provide our customers with additional insights from their own data in the form of patterns, trends, and relationships. This enables them to uncover new findings, make better business decisions, and gain a competitive advantage.

By focusing on solutions based on advanced modeling, machine learning, and statistical methods, the team empowers customers to make data-driven decisions with confidence. They focus on features that allow us to attract more demanding customers on higher pricing plans, which significantly impact our success.

“In a way, data science not only shapes the future of our product but also plays an important role in driving growth and delivering value to our customers.”

Charting the Future of Data Science

When planning for the future, Miha envisions a dynamic future for data science within Databox. As the company scales, so does the complexity of its challenges.

Since the industry has been recently shaken by a new wave of technologies led by generative AI, we want to address this topic more intensively. The Data Science team has already begun to concretely utilize these technologies in our products. In the next phase, they will focus primarily on autonomous AI agents or agent systems that independently perform specific tasks, thereby providing better input for AI features.

On the other hand, with new data engineering initiatives, we are moving from a point where we only offered metrics to processing and providing raw data.

“These efforts will result in data quality improvements and will also enable us to deliver new data features such as conversational analytics, AI-assisted metric creation, or highlighting anomalies in raw data, making the role of data science within Databox increasingly more important.”

Bridging Vision and Execution

For Miha, data science is about more than just algorithms or dashboards. It’s about making information accessible, actionable, and impactful. The work of Databox’s data scientists ensures that we remain at the forefront of BI innovation, empowering teams, customers, and the company as a whole to thrive in a data-driven world.
